Privacy Policy
Last Updated: 12 October 2026
This Privacy Policy explains how Helios Core AI LLC ("Helios", "we", "us") collects, uses and discloses personal information in connection with our website, our marketing and events, our recruiting, and the administration of Helios accounts (together, the "Services").
Customer Data is not covered by this Policy. This Policy does not apply to personal information we process on behalf of our business customers as a processor or service provider — the content of calls, tickets, chats and email handled by a Mira assistant a business has deployed, and the records retrieved from that business's systems. Our processing of that information is governed by our Data Processing Addendum and the contract we have with that customer, not by this Policy. Each customer's own privacy notice governs its collection and use. Questions or requests about that information should be directed to that business, not to us; we will assist them in responding.

1. WHO THIS POLICY COVERS
This Policy applies where Helios decides how your information is used — when you visit our website, contact us, attend an event we host or attend, apply for a job with us, or administer a Helios account.
It does not apply when you interact with a Mira assistant that a business has deployed — when you call their support line, submit a ticket, or chat with their IT helpdesk. In those cases that business decides what is collected and why, and we process it on their instructions under a contract with them. See the Customer Data note above.
2. INFORMATION WE COLLECT AS CONTROLLER
| Category | Examples |
|---|---|
| Account information | Name, business email, telephone number, job title, company |
| Billing information | Billing contact, billing address, subscription and payment records. Card details are handled by our payment processor and are not stored by us |
| Website and product usage | Pages viewed, features used, approximate location derived from IP address, device and browser type |
| Communications | Messages you send us, support requests, and records of our correspondence |
| Technical | IP address, user agent, and log records of administrative actions |
We do not seek to collect sensitive personal information about you in this role, and ask that you do not send it to us.
3. HOW WE USE IT
We use information in the controller role to provide and administer the Services; to authenticate administrative users; to bill and collect payment; to provide support; to secure the Services and investigate misuse; to communicate about the Services, including service notices; to understand how the Services are used and improve them; for marketing, where permitted and subject to your choices; and to comply with law.
4. HOW WE SHARE IT
We share personal information with:
-
Service providers who support our business — hosting, monitoring, payment processing, authentication, email delivery and customer communications. Our processing sub-processors are listed, for each of our products, on the Legal pages of our website.
-
Professional advisers, where necessary.
-
Authorities, where required by law or to protect rights and safety.
-
A successor, in connection with a merger, acquisition or sale of assets.
-
Advertising and analytics partners. Third-party advertising and analytics partners may set cookies, pixel tags and similar technologies on our website to collect information about your activity and device — IP address, cookie identifiers, pages visited, approximate location and time of day — over time and across other websites, and may use it to deliver interest-based advertising.
Your choices. See Section 8 for how to control cookies and interest-based advertising.
5. AI PROCESSING
Our Services use machine learning models, including models operated by third-party providers. Those providers are listed, for each of our products, on the Legal pages of our website, with AI and model providers identified separately from infrastructure providers.
We do not use our customers' content to train, fine-tune or improve machine learning models, and our AI providers are contractually prohibited from doing so. We do use aggregated and de-identified operational information — volumes, latencies, error rates and similar — to operate and improve the Services.
6. RETENTION
We keep information in the controller role for as long as needed for the purpose it was collected, and then for as long as required for legal, accounting or dispute-resolution purposes.
Information processed on a customer's behalf is retained according to that customer's configuration and our contract with them — see Section 9.
7. SECURITY
We maintain administrative, physical and technical safeguards appropriate to the information we hold, including encryption in transit, encryption at rest at the platform level, role-based access control, and audit logging of administrative actions. No system is completely secure, and we cannot guarantee absolute security.
8. YOUR CHOICES AND RIGHTS
You may ask us to access, correct or delete personal information we hold about you as controller by emailing legal@helios-core.com. We will verify your request and respond within a reasonable time.
If your request concerns information we process on behalf of a business customer, we will direct you to that business — see Section 9.
Marketing. You can unsubscribe from marketing email using the link in any message, or by contacting us.
Cookies and similar technologies. Our website uses cookies, pixel tags and similar technologies for essential functionality, for analytics and for advertising, as described in Section 4. You can block or delete cookies through your browser settings, and opt out of interest-based advertising from many participating companies at optout.aboutads.info and optout.networkadvertising.org.
Do Not Track. Our website does not currently respond to browser Do Not Track signals.
9. INFORMATION PROCESSED FOR OUR BUSINESS CUSTOMERS
When a business deploys a Mira assistant, we process information about the people who interact with it on that business's instructions and under a contract with that business, as its processor or service provider, and we do not retain, use or disclose that information outside that relationship. That processing is outside the scope of this Policy, as stated at the top.
What is collected, how long it is kept, and what the Services may do with it are determined by that business's configuration and by our Data Processing Addendum for the product that business uses, published on the Legal pages of our website, which describes the categories of information, the sub-processors involved, and the retention that applies.
Your rights in respect of that information are exercised against the business, not against us. If you contact us, we will refer you to them and assist them in responding.
Where a Mira assistant answers a telephone call, the call may be recorded. The business operating the line is responsible for notifying callers and obtaining any consent required where they are.
10. CHILDREN
The Services are business tools and are not directed to children. We do not knowingly collect personal information from anyone under 13. If you believe we have, contact us and we will delete it.
11. LOCATION OF PROCESSING
We process and store information in the United States. The Services are offered for use in the United States and Canada. If you access them from elsewhere, you do so on your own initiative and are responsible for compliance with local law.
12. CHANGES
We may update this Policy. The "Last Updated" date above indicates the most recent revision, and we will give notice of material changes. Prior versions are available on request.
